Job Description

We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to our senior executives. The ideal candidate will be adept at managing multiple priorities, handling sensitive information with discretion, and ensuring the smooth operation of executive functions. This role requires excellent organizational skills, a high degree of professionalism, and the ability to work independently in a fast-paced environment.

Key Responsibilities:

  • Calendar Management: Efficiently manage the executive’s calendar, schedule appointments, and coordinate meetings.
  • Communication: Act as the primary point of contact between executives and internal/external stakeholders, handling correspondence and inquiries.
  • Travel Arrangements: Organize and manage detailed travel itineraries, including flights, accommodations, and transportation.
  • Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for executive meetings.
  • Document Preparation: Draft, proofread, and edit emails, reports, presentations, and other documents.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Office Management: Assist with office management tasks, including managing supplies, organizing events, and overseeing administrative projects.

Skill & Experience:

  • Educational Background: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience: Proven experience as an Executive Assistant or in a similar administrative role, supporting senior executives.
  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Organizational Skills: Exceptional organizational and time-management skills, with the ability to manage multiple tasks and priorities.
  • Communication Skills: Excellent verbal and written communication skills, with attention to detail.
  • Interpersonal Skills: Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
  • Problem-Solving: Ability to anticipate needs, think critically, and offer proactive solutions to problems.
