Job Title: Stores & Despatch In-Charge

Department: Operations / Supply Chain

Reporting To: Factory/Operations Manager

Location: GIDC Pandesara, Surat

Role Objective

To efficiently manage the receipt, storage, issue, and dispatch of raw materials, consumables, semi-finished, and finished goods. Ensure accurate inventory control, timely order fulfillment, and smooth coordination with production, purchase, sales, and transport teams.

Key Responsibilities

Stores Management
• Maintain accurate records of all inward materials, consumables, and stock.
• Verify incoming materials against purchase orders (quality, quantity, documentation).
• Ensure systematic storage (binning, tagging, FIFO/FEFO).
• Conduct daily/weekly/monthly stock checks and reconcile physical vs. system stock.
• Monitor and control minimum/maximum stock levels and raise requisitions accordingly.
• Prevent losses due to pilferage, damage, or improper handling.

Despatch Management
• Plan daily despatches as per sales/dispatch orders and production availability.
• Coordinate with sales, logistics, and transporters to ensure timely delivery.
• Prepare invoices, packing lists, e-way bills, and other required documentation.
• Ensure proper packaging, labeling, and loading to avoid transit damage.
• Track dispatched consignments and update customers/sales team.

Coordination & Compliance
• Liaise with Purchase, Production, and Sales teams for smooth flow of materials.
• Ensure compliance with company SOPs, statutory requirements (GST, E-way bills), and audit norms.
• Maintain housekeeping & safety standards in stores and dispatch areas.

Key Skills & Competencies
• Strong knowledge of inventory control and warehouse management.
• Familiarity with ERP/Tally/other inventory management software.
• Documentation skills (GRN, Delivery Challan, Invoice, E-way bill, etc.).
• Ability to manage a team of storekeepers, helpers, and loaders.
• Good communication, coordination, and problem-solving skills.
• Discipline and eye for detail in record keeping.

Qualifications & Experience
• Graduate/Diploma in Supply Chain / Logistics / Commerce / Operations.
• 5–10 years of experience in stores, warehousing, or dispatch operations (manufacturing/trading sector).
• Knowledge of GST, e-invoicing, and transport coordination is preferred.
